Decide a pending member leave request

  1. 1

    Open Leave requests

A staff member with registration-decision capability opens the pending request and reviews its child, team and account position.

  2. 2

    Approve or Decline

Decline leaves membership and billing unchanged and allows an optional note. Team-only approval removes that team membership. Club-wide approval marks the member left and cancels future scheduled billing.

  3. 3

    Choose the balance outcome

Where outstanding money requires a choice, keep it owed or write it off if you hold the required finance permission. Processing collections remain for settlement.

  4. 4

    Check the decision

The requester and club admins can be notified, including the entered note. Existing payments are not silently refunded.

How family access works

A parent or guardian account should link to the existing family and player records. A second guardian can have their own access without creating another child.

Join or restore access

  1. 1

Open the invitation from the club

Invitation and signup links do not expire. A link only stops working if the club revokes it, so ask the club for a new one if yours says it is no longer active.

  2. 2

Sign in with the invited contact detail

Using a different account can leave the invitation accepted but the family invisible.

  3. 3

Read an existing-player warning before continuing

A masked parent email is shown as a prompt to recognise the family record. It does not block a genuine second guardian.

  4. 4

Ask the club to check family access if the child is missing

The registrar can link the guardian to the existing family rather than creating a replacement player.

What good access looks like

  • Each child appears once.
  • Both guardians use their own login.
  • Payments remain attached to the correct payer and player.
  • The app shows the expected club and team.

Answer a family information request

  1. 1

    Open the current app controls

Open your family information requests and choose the club, person and requested field.

  2. 2

    Review and confirm

Enter the value in its actual date, select or text editor, or the required address fields, and submit. This replaces that requested field and completes the request; photo and document uploads stay in the app.

Ask for help with a family request

  1. 1

    Open the current app controls

Open the named family information request.

  2. 2

    Review and confirm

Choose Needs help and enter an optional private note for the club. The request changes to needs-help without replacing the requested person field or sending a message.

Ask for a child to leave

  1. 1

    Open the current app controls

Open the child at the club in the family app and the leave-request controls.

  2. 2

    Review and confirm

Choose leaving the club or a specific current team, the reason and optional club-only feedback. Submit a pending request; the club admins receive best-effort push, but memberships, invoices and payments do not change until a later decision.

Accept your guardian invitation

  1. 1

    Open the current app controls

Sign in with the invited verified account and open your matching parent/carer invitations.

  2. 2

    Review and confirm

Review the exact child, club, access level and fee visibility, then accept. The native claim checks remain; acceptance establishes the reviewed guardian relationship and product access without sending a message.

Replace the full editable member record

  1. 1

Use the native member profile edit controls

Only staff with the native member role, team scope and both contact/medical viewing permissions can use this bounded FULL replacement. Enter every intended name, contact/address, school, medical/accessibility, clothing, date and status field; blank optional values clear saved data and blank country becomes GB. No private prefill is loaded.

  2. 2

Confirm shared-person and possible billing effects

Shared-person details can affect other linked surfaces. Trial end applies only to Trial; Lapsed records native lapse time. Where the sport enables member states, Withdrawn/Lapsed stops future fee assignments and voids scheduled not-yet-due invoices while due/retrying/failed/part-paid balances remain. No immediate charge, refund or message is requested. Identity, status, clothing, billing stop and audit are separate phases; earlier effects can remain after later failure. Reconcile the original operation and current app record before repeating an uncertain result; native later reads are not an atomic preview fence.

Block a current direct-message participant

  1. 1

    Find the native control

Open Family Messages and the current direct conversation. Choose the named other participant. This bounded flow offers only the current direct-thread subset and refuses a full 100-thread inbox witness.

  2. 2

Enter and review the intended change

Review adding your block. It stops ordinary direct messages and starting a direct conversation with you; no notification is sent.

  3. 3

    Check the result and effects

Team chats, announcement replies and native exempt staff contact about your child remain available. Ambiguous participant names are omitted; no guessed account IDs are accepted.

Unblock a person in Family Messages

  1. 1

    Find the native control

Open Family Messages and your current blocked-people control. Choose the named person on your own block list.

  2. 2

Enter and review the intended change

Review removing your block for that person. This is your own account setting; no notification is sent.

  3. 3

    Check the result and effects

Direct messaging becomes subject to the normal messaging rules again. This does not grant club, team or family access.

Book a free session place

  1. 1

    Open the published session

In Sessions or your family programme, open the current session and choose your saved participant. This assistant menu is limited to sessions already named in your family programmes or My sessions; another public session stays in the app. Only a scheduled, published, zero-price free session is supported. Paid checkout and an existing live booking or unvoided invoice are excluded.

  2. 2

Enter emergency details and read the terms

Enter the emergency name and phone you intend to save. Read the exact current session terms beside the acceptance control, then explicitly accept. The booking replaces saved emergency details and creates or reuses the payer profile/session payer link; it does not grant another person account access.

  3. 3

    Review and request the place

Review the named participant, date and exact accepted terms, then choose Do it. Native audience, programme eligibility, capacity and waiting-list rules still apply, so a request may waitlist or refuse. Linked programmes may apply collection defaults and club People membership. No invoice, charge, checkout or notification is intended in this bounded free lane.

  4. 4

    Check the actual outcome

Open the session to check whether it booked or waitlisted. Native writes and later checks are separate: a failure may follow a saved booking. If the result is uncertain, check the original operation and session before submitting again.

Book free programme dates

  1. 1

    Open the family programme

From Sessions choose the programme and saved participant. Choose explicitly named eligible future dates. This lane supports only free zero-price dates and excludes existing live bookings and old non-void invoices; paid dates and checkout remain in the native app.

  2. 2

    Replace collection details deliberately

Enter the emergency contact and collection notes you intend to save, and choose whether the participant may leave alone. The club age rule still limits leaving alone. Choose photo consent deliberately: a selected value changes the shared person-level consent even if every selected date refuses; blank retains it.

  3. 3

Read the current terms and review

Read the full current programme terms beside the acceptance control and explicitly accept them. Review the named dates, participant and replacement settings before Do it. Terms longer than this bounded interface supports stay in the app.

  4. 4

    Check each date outcome

Native eligibility, capacity and waiting lists decide each date independently. Booking may create or reuse payer links and add the participant to club People without downgrading existing membership. No invoice, charge, checkout or notification is intended here. Check My sessions for each outcome; if uncertain, check the original operation before retrying.

Answer a child squad place offer

  1. 1

    Open the current family offer

In the Playlee app open your family placements and choose the named child and squad offer. Only an offered place you can answer with full family access is available here; reserve, accepted and declined places are excluded.

  2. 2

    Choose accept or decline

Choose the response you intend for that exact child and squad, then review it. Accepting checks current squad capacity; declining answers the offer without creating a fee, payment or account grant.

  3. 3

    Confirm and check the response

Choose Do it. The native transaction writes only while the place remains offered and records its audit and response time. No email, SMS or push is sent. If the offer changed, refresh; for an uncertain result check the original operation and family placement before another request.

Add yourself or a child as a session participant

  1. 1

    Use the current app controls

Use the family session participant form. Choose Yourself or Your child, enter first and last name, date of birth and optional gender. For a child, explicitly confirm you are their parent or guardian.

  2. 2

    Review what happens

The native action can reuse your account-owned adult or an already linked same-name child, filling only missing birth date or gender. A new child creates a global primary-parent link with full family access and fee visibility off. No club membership, booking, invoice, payment, message or account is created.

  3. 3

    Check the original outcome

Only explicit approval invokes the native action. Current reviewed witnesses are rechecked, but later reads, writes, audits and delivery may remain separate. If the result is uncertain, reconcile the original request rather than creating another operation.
