Issue, collect and cancel fines

Switch fines on, set the notice period, fine a player or a team, and understand what the fined person sees and when they are charged.

How fines work

Fines are added as drafts on the web. Nothing is billed until you press Issue. Issuing tells the payer straight away and gives them a notice period (4 days by default, never less than 1) before the fine can be collected.

A player fine is billed to whoever pays that child’s fees and is taken from their saved card or Direct Debit once the notice period ends. A team fine is billed to the team manager, who can pay it from a link or from the staff app.

Where to go

Settings → Money → Fines → Open fine settings
Switch fines on, allow team fines, set the notice period, and choose who covers the processing fee and any admin fee.
Money → Manage fines
Add player and team fines, issue drafts, cancel drafts and waive issued fines.

Set up and issue a fine

    Switch fines on

    In Fine settings, tick “Enable fines for this club”. To fine teams as well, tick “Allow fines to be passed onto teams (paid by the manager)”. Press Save fine settings.

    Set the notice period

    “Notice period (days) before collection” defaults to 4 and can’t go below 1, so a fine is never collected without notice.

    Decide who covers the processing fee

    By default it is passed to the payer as a 2% processing charge added to the fine, so the club receives the full fine. Choose “Club absorbs it” to charge only the fine. You can also add a fixed or percentage club admin fee.

    Add the fine as a draft

    On Money → Manage fines, press Add player fine. Choose the player, the offence (Yellow card, Red card, Dissent / misconduct or Other), the amount and an optional note. For a team, use Add team fine and enter the team, reason and amount.

    Check it and press Issue

    The fine moves to issued and the payer is told, with a link to pay now. The Due column shows the date it can be collected.

What the fined person sees

  • An email saying a fine has been issued, with the amount, the reason and a Pay now link. A notification is also sent to the app.
  • Player fines appear in the parent’s Plans tab marked FINE. They are collected from the saved payment method on the due date unless paid before then.
  • Team fines appear as a yellow “You have a fine to pay” banner on the manager’s Team tab in the staff app, with a Pay button.
  • The amount shown includes any processing charge or admin fee the club added.

Cancel or waive a fine

    Cancel a draft

    Drafts have a Cancel button. Nobody was told about the fine, so nothing else happens.

    Waive an issued fine

    Issued, overdue or failed fines have a Waive button. It closes the fine and voids the unpaid charge so it can’t be collected.

    Return a paid fine

    A paid fine can’t be waived. Find its invoice on the Money page (it is described as a fine) and refund it there.

Before you issue

  • The right player or team is selected.
  • The amount and reason match the club’s fines policy.
  • The player has a payer on file (assign a fee plan or payer first if not).
  • For team fines, the team has a manager or coach with contact details.

Common questions

Why can’t I see Manage fines?

Only club owners, club admins and treasurers can manage fines. If you can see the page but can’t add anything, fines are switched off in Settings → Money → Fines.

Why is there no Add team fine button?

Team fines are off by default. Tick “Allow fines to be passed onto teams” in Fine settings.

Issuing says the player has no payer on file.

A player fine is billed to whoever pays that child’s fees. Assign a fee plan or payer to the player first, then issue the fine again.

Why is the fine more than I entered?

By default the payer covers the processing fee, so 2% is added. Any club admin fee you set is added too. The fines list shows the total with the original fine underneath.

Can a fine be taken the same day?

No. The notice period is at least 1 day, and 4 days unless the club changes it.

Can I create fines in the app?

Fines are created and issued on the web. The apps show fines to the people who owe them and let them pay.
