Cancel, postpone or delete a fixture or session
Call off a game or training session, tell families, free the pitch, and understand the difference between cancelling, postponing and deleting.

Which one to use
Cancel when the event is off. Families see it as cancelled, it drops out of their subscribed calendars, and its pitch booking is released.
Postpone when it will be rearranged. Families see "This event has been postponed — a new time will be confirmed", and the pitch booking is released. Delete only for an event that was created by mistake: it permanently removes the event and every availability answer.

Open the event
On the web, go to Schedule and select the event. In the app, tap it in the Schedule tab and edit it.

Cancel it
On the web, use Cancel event and confirm. In the app, use "Cancel this event". If it is part of a series, the app asks whether to cancel this date, this and later dates, or all of them.

Or postpone it (app)
In the app, set the Status to Postponed and save. The web form offers Scheduled, Completed and Cancelled only.

Rearrange a postponed event
When you know the new date, edit the event, set it back to Scheduled with the new time, and book a pitch again if you need one. The original booking is not restored.
What families are told
- Cancelling sends a "… cancelled" push (for example "Match cancelled") to the team's families, or only to invited players' families for an event with selected players.
- Postponing sends a "… postponed" push. Changing the time or place of a scheduled event sends "… time changed" or "… location changed".
- Deleting an upcoming event also sends a cancelled push, so nobody turns up for it.
- Events hidden from parents never send notifications.

When you archive a team in Teams, every event of theirs that has not started yet is cancelled, and their future pitch bookings are released. Families are not sent a notification for each one. Past matches, results and attendance are kept. Un-archiving the team does not bring the cancelled events back, so you need to add them again.
After calling it off
- The event shows Cancelled or Postponed in Schedule.
- The pitch shows as free on the weekend pitch board or in Facilities.
- Anyone without the app has been told another way.
- A postponed event has a reminder to set its new date.
Common questions
Why is the pitch still showing as booked after I called the game off?
Cancelling or postponing from Playlee releases the booking straight away. If the fixture was cancelled by an FA Full-Time re-sync instead, its booking stays in place: open the fixture and use Cancel event (or save it) to release the pitch.
Why didn't parents get the cancellation notification?
Notifications go to families with the app who allow Playlee notifications and have Events switched on in You → Notifications. Nothing is sent for events hidden from parents. Parents without the app still see the cancelled status when they next look.
Can I undo a cancellation?
Yes. Edit the event and set its Status back to Scheduled. Book the pitch again, because the original booking was released.
Can I undo a delete?
No. Deleting permanently removes the event and its availability answers. Cancel instead if you might need it again.
Does a postponed game stay in parents' calendars?
Yes. Subscribed calendars drop cancelled events, but a postponed event stays at its original time until you give it a new date.
