Set up repeating training and edit a series

Create weekly training (or any regular session) in one go, then change one date, this date and later ones, or the whole series.

What a series is

A repeating event creates one separate event for every date, and each date has its own availability answers, register and pitch booking. The dates are linked as a series, so you can later change one date on its own or several at once.

Only training, social and other events can repeat. Matches are always created one at a time, because every fixture has its own opponent and kick-off. Playlee will refuse a repeating match with "Matches and tournaments can't repeat. Create each one separately."

Where to go

Schedule → Add event (web)
The Repeat section is inside the add form. It is only shown when the Type is Training, Social or Other.
Schedule tab → New event (app)
Staff can switch on Repeat when creating a training session or other regular event.
Facilities → Bookings → Create a recurring event
Creates every date in the schedule and reserves a pitch for each one at the same time.

Create a repeating event

    Open Schedule and select Add event

    Choose Training (or Social / Other), the team, a title, and the start of the first session. The end time is optional.

    Open "Repeat (e.g. weekly training)" and tick "Repeat this event"

    Choose the Frequency: Weekly, Every 2 weeks, Monthly or Every N days. For Every N days, fill in "Every N days (custom only)".

    Set "Repeat until"

    This date is required once Repeat is ticked. A series holds at most 104 dates, and the session keeps the same local start time even when the clocks change.

    Optionally set a Duration (minutes)

    This gives every date a finish time. Without one, Playlee assumes 90 minutes for pitch bookings and calendars.

    Select Add event

    Families of the team get one "New training" notification for the whole series, not one per date. A series that is hidden from parents sends nothing.

Change one date or the whole series

    Open the date you want to change

    On the web, select the event in Schedule to open its edit form. In the app, tap the event and then edit it.

    Make your change and choose what it applies to

    On the web, "Apply changes to" offers This occurrence, This and later, or All occurrences. The app asks the same thing as This event only, This and later events, or All events in the series.

    Save changes

    For a wider change, every date keeps its own day and takes the new time. A meet time and an availability deadline move with each date, keeping the same gap before the start.

    Delete a date or the series if you need to

    On the web, repeating events show Delete occurrence and Delete series. Deleting permanently removes the date(s) and their availability answers. If you only want families to know a session is off, cancel it instead.

Pitch bookings only follow single-date edits

Pitch bookings only follow single-date edits

If a session has a pitch booked, the booking moves with it when you save that one date. When you change the time for "This and later" or "All occurrences", the pitch bookings are not moved, so check them in Facilities afterwards. Cancelling or postponing still releases every affected booking.

Check the series

  • The first and last dates look right in Schedule.
  • The start time is correct on a date after the clocks change.
  • Visible to parents is ticked, unless the sessions should stay staff-only.
  • Any pitch bookings you need are in place.

Common questions

Why is there no Repeat option on my fixture?

Matches cannot repeat. Repeat only appears for Training, Social and Other. Add each fixture separately, or import league fixtures from FA Full-Time.

I changed the time on one training session and the rest did not change. Why?

When you edit a date in a series, "This occurrence" is chosen by default. Edit it again and choose This and later or All occurrences.

Do families get a notification for every date in the series?

No. Creating a series sends one "New training" notification. Later, families are notified when a change affects the date, time, place or status.

Can I stop a series early?

Yes. Open the first date you no longer need, then either cancel the dates so families see they are off, or use Delete series. Delete series removes every date in the series, including earlier ones.

Why didn't my series get created?

Check that "Repeat until" is filled in and is not before the first session, and that the Type is not a match. For Every N days, the number of days must be filled in.
