What this page is for

The Teams page is where you check the event structure still makes sense before fixtures exist.

Main areas on this page

Team list
Search teams, check names and clubs, and see payment status (Paid, Unpaid or Part paid).
Add team
Add one team or bulk paste a list into a division.
Pending entries
Entries submitted through your public signup page, waiting for you to approve, send back or decline.
Capacity & waitlist
See which categories are full and offer places to waitlisted teams.
Withdraw
Remove a team that has dropped out and record what happens to their fee.

Typical flow

  1. 1

    Clear Pending entries first.

  2. 2

Review team names and clubs next.

  3. 3

Do a final count check against each division before scheduling.

Important checks

  • Every expected team is present.
  • The number of teams in each division looks sensible.
  • No team is sitting in the wrong division.

Common questions

Should I schedule before divisions are final?

No. Fixtures are much easier to trust when the team structure is final first.

When should I withdraw a team?

As soon as you know. The Withdraw dialog also records the refund decision for any fee they paid.

Mark a team present or absent

  1. 1

    Open Teams

Show the Present column if it is hidden in the column controls.

  2. 2

Set the marker on the exact team

The Present checkbox saves that team’s arrival marker and refreshes live tournament views.

  3. 3

Keep presence separate from competition decisions

This does not withdraw the team, cancel fixtures or change scores, and sends no participant notification.

Add a team custom field

  1. 1

Open Teams and add a custom field

Enter the field name and choose whether the field should be public.

  2. 2

    Check the name and visibility

The field is added at the end of the current field list. Dressing room is already a built-in field and cannot be added as a custom field.

  3. 3

    Populate values separately

Creating the field does not fill any team’s value or notify team managers. Public visibility is a deliberate choice.

Save a team arrival status

  1. 1

    Open the matchday workspace

    Choose the named current team.

  2. 2

    Set its arrival status

Choose Not arrived, Arrived, Late or Absent and enter the private arrival note in the form.

  3. 3

    Save the reviewed record

Only Arrived marks presence. An intervening team edit refuses the original review; live views refresh without messages or charges.

Update your team manager profile

  1. 1

    Open the current app controls

Open your Team portal and the Manager profile section.

  2. 2

    Review and confirm

Set the club name, phone and each communication preference, then save. Blank optional values clear them; this does not change verified account contacts or send a message.

Invite another entry manager

  1. 1

    Open the current app controls

Open your owned entry in the Team portal and its managers section.

  2. 2

    Review and confirm

Enter one email and choose Owner or Manager. Confirm the access being granted; the app saves a manager link and attempts one email, which can fail after saving.

Edit your managed tournament entry

  1. 1

    Open the current app controls

Open your entry in the Team portal and its entry details form.

  2. 2

    Review and confirm

Review all club, team, contact, affiliation and league fields before saving; blanks clear optional fields. Shared club details can affect other linked entries.

Add a tournament player

  1. 1

    Open the current app controls

Open your managed entry in the Team portal and choose Add player.

  2. 2

    Review and confirm

Enter the name, optional birth date and position, then save. This creates a tournament player record, not a Clubs account or family relationship.

Edit a tournament player

  1. 1

    Open the current app controls

Open your managed entry in the Team portal and choose the player to edit.

  2. 2

    Review and confirm

Review name, birth date and position, then save. Optional blanks clear values and the birth-date change resets age-verification review.

Remove a tournament player

  1. 1

    Open the current app controls

Open your managed entry in the Team portal and select the player.

  2. 2

    Review and confirm

Confirm removal: the tournament player, linked guardian records and consent events are deleted. Separate Clubs records remain; no refund is issued.

Add a tournament guardian record

  1. 1

    Open the current app controls

Open the player in your Team portal and its guardian controls, when enabled.

  2. 2

    Review and confirm

Enter the guardian details and explicit communication preferences, then save. The record and consent history do not grant Clubs family access or send an invitation.

Edit a tournament guardian record

  1. 1

    Open the current app controls

Open the player and select the guardian record in your Team portal.

  2. 2

    Review and confirm

Review the name, relationship, contacts and communication preferences before saving. Optional blanks clear values; no invitation or account grant is made.

Remove a tournament guardian record

  1. 1

    Open the current app controls

Open the player and select the guardian record in your Team portal.

  2. 2

    Review and confirm

Confirm deletion of this tournament record and its consent events. Separate Clubs family access and accounts remain unchanged.

Send a guardian details invitation

  1. 1

    Open the current app controls

Open the player and select a guardian with a saved email in your Team portal.

  2. 2

    Review and confirm

Choose the guardian invitation control and confirm. The app attempts one email requesting details and preferences; this does not grant Clubs family access, and saved sent history can remain after delivery failure.

Offer a tournament waitlist place

  1. 1

    Open the current app controls

Open the tournament entry management controls and select a waitlisted or expired entry.

  2. 2

    Review and confirm

Set the offer deadline and confirm the reservation. Current category capacity and policy deadline apply; offer emails are attempted only when the existing feature is enabled, with no charge or refund now.

Cancel a tournament waitlist offer

  1. 1

    Open the current app controls

Open the tournament entry management controls and select an active offer.

  2. 2

    Review and confirm

Confirm cancellation to return it to the waitlist and clear the active reservation/payment attempt. Settled payments can block cancellation; no refund or message is sent.

Invite a tournament referee

  1. 1

    Open the current app controls

Open the tournament Referees tab and choose Invite referee.

  2. 2

    Review and confirm

Enter the referee details and a destination, then confirm. The app may reuse a matching profile and attempts one email or SMS after saving; delivery failure does not undo saved changes.

Edit a linked referee profile

  1. 1

    Open the current app controls

Open the tournament Referees tab and edit the selected linked referee.

  2. 2

    Review and confirm

Review contacts, registration, DBS expiry and under-18 status before saving. This shared profile affects linked tournaments; ID-card upload and directory consent are retained.

Mark a ticket used

  1. 1

    Open the current app controls

Open the tournament ticket verification controls and enter the holder's QR token or verification code.

  2. 2

    Review and confirm

Review the ticket and admission checks, add any private notes and confirm redemption. This records admission under your account without charging, refunding or sending a message.

Change tournament entry fees and signup requirements

  1. 1

    Open the current app controls

Open the managed tournament entry-fee and signup settings.

  2. 2

    Review and confirm

Review the entry fee, currency, fee mode, multi-team discounts and required contact/player fields, then save the full replacement. Existing deadline, public signup switches and payment instructions remain; future entry pricing can change without repricing existing orders or charging now.

Save your entrant onboarding details

  1. 1

    Open the current app controls

Open your Team manager onboarding and select your own named entry.

  2. 2

    Review and confirm

Choose its current saved club record or clear that selection to use native sport/name matching or creation. Review all contacts, affiliation, kit and completion controls; blanks clear optional values and shared club changes can affect linked entries. Existing players are retained in this guided lane; add new names in the native app.

Submit your team result for opponent review

  1. 1

    Open the current app controls

Open your Team portal, select the approved team and an available fixture whose result is not staff-finalised.

  2. 2

    Review and confirm

Enter both scores and confirm your team report. Matching opponent reports can publish an agreed result; disagreements need organiser review. Standings, bracket and public views can change, without overriding a referee or organiser finalisation.

Initialize an empty tournament fixture grid

  1. 1

    Open the tournament Setup page

Open the managed tournament and its Setup or Scheduling page. Those native pages can already initialize an empty fixture grid from the saved divisions, pitches, days and time windows.

  2. 2

    Review the saved setup

The guided action shows current fixture and configuration counts. Any existing fixture makes native initialization a no-op. It does not regenerate existing fixtures or allocate home and away teams; incomplete setup may create zero.

  3. 3

    Check the created placeholders

Choose Do it after the guided review, then inspect Setup. Only the native transactional builder decides the resulting count and rechecks that no fixtures exist. No credit, payment or notification is used. Check the saved state before repeating an uncertain response.

Generate a public tournament directory flyer

  1. 1

Open directory flyer generation in Settings

In the managed tournament Settings, review the public tournament details and directory listing. Choose the flyer audience, emphasis, style, portrait/square/story output and locale, plus an optional brief of up to 500 characters.

  2. 2

    Review the public generation effects

Generation uses the current saved tournament and listing details and calls the configured image provider after approval. It can create missing directory listings, upload a public image and replace listing flyer metadata. Operator provider/storage costs are possible; no tournament credit or club invoice is debited and no exact price is promised.

  3. 3

    Generate and inspect the flyer

Choose Do it after the guided review, then inspect the image and directory details in Settings before sharing. Generation, public upload, listing updates and synchronization are separate phases; failures can leave assets or partial listing changes. No email, SMS or push is sent. Check the original listing before repeating an uncertain request.

Withdraw a team and record an offline refund decision

  1. 1

    Open the team withdrawal dialog

In tournament Teams, choose the team and Withdraw. Review the native preview of actionable and protected fixtures. Choose an available replacement, cancellation or walkover policy; replacement requires an eligible unscheduled team.

  2. 2

    Review sporting and refund consequences

Review the selected policy, qualification and bracket consequences. Record the refund decision, optional amount in the entry currency and private notes. This guided lane keeps Refund via Stripe off: it records the decision without returning money.

  3. 3

Confirm and check the saved team

Choose Do it. The native transaction checks its fixture token and saves the withdrawal and sporting changes together; public refresh follows separately. Protected fixtures stay. A later refresh failure can follow saved changes. Open the result link and check the original operation before retrying an uncertain outcome.

Request a full refund for a tournament ticket order

  1. 1

    Open tournament Tickets

Choose a current paid ticket order from the native latest-eight window and its Refund control. This guided menu does not search older order history. The private review shows the ticket quantity, original amount, currency and recorded prior refunds.

  2. 2

    Review the real refund request

Enter an optional private reason. Refund goes through the original Stripe payment; Stripe decides the remaining refundable amount. Organiser funds are returned while Playlee's application fee is not returned. Provider details are read from saved database state, without a provider lookup during review.

  3. 3

Confirm and inspect the original order

Choose Do it. A successful native full refund cancels the paid order, stops check-in and releases sold inventory; ticket rows remain for audit. Provider completion and the later database record can diverge. No Playlee email, SMS or push is sent. Use the Tickets result link and inspect the original order before another attempt if the outcome is uncertain.

Generate or replace your tournament group schedule

  1. 1

    Review current native scheduling setup

As the owner, open the tournament Scheduling page and use Auto Scheduler. Check the recorded divisions and teams, pitch allocation, day time windows, duration, changeovers and team-rest settings before generation.

  2. 2

    Confirm replacement and visible effects

Review the exact current setup and count of unlocked Scheduled group or no-round fixtures without results or team submissions to replace; other fixtures are preserved. Native generation can refuse conflicts or leave fixtures unallocated when capacity is insufficient. Successful generation saves a recovery revision and publishes a live tournament update, changing the visible fixture schedule. It does not use a plan credit, cancel a booking, take payment, refund or send email, SMS or push. Only explicit confirmation invokes the existing generator; describing or reviewing even a zero-fixture tournament is read-only. Check the original result and current schedule before repeating an uncertain outcome or a later live-update failure.

Apply your existing tournament plan credit

  1. 1

    Use the owner Settings controls

Open your tournament Settings and select an available Standard or Pro credit. This is restricted to the actual owner, not a delegated administrator. Review the current and chosen plan, unused-credit count and resulting plan limits. The native transaction uses the oldest unused credit of that level and releases other linked credits when replacing a Standard or Pro plan. No purchase, charge, refund or message occurs; concurrent credit use can still cause refusal.

  2. 2

    Review and confirm

Check the exact named tournament and consequences, then use the shared review and confirmation. If the result is uncertain, check the original operation and app record before repeating.

Permanently delete your tournament

  1. 1

Use the owner dashboard tournament-card control

On your owner dashboard, open the tournament card delete control and type the exact current tournament name. Review deletion of days, pitches, categories, divisions, teams and dependent fixtures, entry, participant, ticket and presentation records. Native execution refuses paid or part-paid records, any entry amount paid, paid ticket orders or fixtures that are not Scheduled. This cannot be undone. A linked plan credit may be restored first in a separate step: later deletion failure can leave the tournament present with that credit restored. External directory rows can remain with their tournament link cleared; account records and stored image files remain. No refund or message is sent.

  2. 2

    Review and confirm

Check the exact named tournament and consequences, then use the shared review and confirmation. If the result is uncertain, check the original operation and app record before repeating.
