What you will do
Your team list becomes the backbone of fixtures, standings and public pages. If it is messy here, it stays messy everywhere.
Every team belongs to a division, so set up your categories and divisions first.
Before you start
- Use consistent club names from the start.
- The Free plan allows up to 8 teams, Standard up to 60, and Pro has no practical limit.
- Remove duplicates before you schedule.
Where to go
- Teams
- Add teams, review Pending entries and manage Capacity & waitlist.
- Settings > Structure & Categories
- Set up categories and divisions before adding teams.
How to do it
- 1
Open Teams and select Add team.
- 2
Use the One team tab to add a single team, or the Bulk paste tab to paste one team name per line.
Choose the Division, then select Add team or Add teams.
- 3
Use the name you want spectators to see, and check club names are not duplicated with small spelling differences.
- 4
Use Withdraw on any team that drops out before you schedule.
Check you are ready
- Team names look right on a public fixture list.
- Club names are consistent across the event.
- There are no duplicate or placeholder teams left behind.
If something looks wrong
If something looks wrong
If Add team shows Plan limit reached, the tournament is at its plan's team limit. See the plans and credits FAQ.
Delete an unused tournament team
- 1
Open Teams as the tournament owner
Choose the exact unused team on this tournament. Co-admin management permission does not replace the owner-only deletion rule.
- 2
Confirm deletion
A team with entry, payment, manager, player, result or fixture history is refused; use guided withdrawal for those teams instead.
- 3
Check Teams
An unused row is deleted without a refund or notification.
Approve a tournament entry
- 1
Open the current controls
Open the tournament Teams entry queue and the named pending entry.
- 2
Review and save
Select its division, review eligibility/payment/capacity blockers, then approve.
- 3
Check the effect
Approval can create the team, update manager memberships, and try an approval email/access link. It does not collect a payment.
Approve an entry with an override
- 1
Open the current controls
Open the pending entry review on Teams.
- 2
Review and save
Choose a division, enter the required override reason and use the approval override.
- 3
Check the effect
Only native overridable blockers can be bypassed; approval has the same team/access/email effects as ordinary approval.
Reject a pending entry
- 1
Open the current controls
Open Teams and an entry submitted for organiser review.
- 2
Review and save
Choose Reject and confirm.
- 3
Check the effect
Rejection can revoke pending manager access and attempt a rejection email. No charge or refund is made.
Reopen a rejected entry
- 1
Open the current controls
Open Teams and an eligible rejected entry without a linked approved team.
- 2
Review and save
Choose Reopen and confirm.
- 3
Check the effect
The entry returns to pending review; eligibility checks still apply.
Resend entry manager access
- 1
Open the current controls
Open the pending entry on Teams.
- 2
Review and save
Choose Resend manager invite for an entry whose manager onboarding is incomplete.
- 3
Check the effect
The native workflow creates or reuses access and attempts email delivery; delivery can fail separately. No approval or charge is made.
Change an entry manager contact
- 1
Open the current controls
Open the pending entry manager contact controls on Teams.
- 2
Review and save
Enter the replacement name, email and optional phone. Explicitly choose whether to resend the invite, then save.
- 3
Check the effect
Changing email can revoke old access links, reset onboarding and remove/downgrade previous manager memberships. Resending can send email.
Record an entry payment status
- 1
Open the current controls
Open Teams and the named entry payment control.
- 2
Review and save
Review the current due/paid amounts and choose Paid or Unpaid, then save.
- 3
Check the effect
Paid copies the current amount due (or paid amount); Unpaid clears recorded paid. This is a ledger correction, not collection or refund.
Request changes to an entry
- 1
Open the current controls
Open the pending entry review on Teams.
- 2
Review and save
Choose Request changes, enter the reason and explicitly choose whether to resend access.
- 3
Check the effect
The entry returns to changes-requested workflow. Resending can send email; no team or payment is created.
Approve selected entries
- 1
Open the current controls
Select pending entries in the Teams queue.
- 2
Review and save
Choose one division for each entry, then use bulk approval.
- 3
Check the effect
Entries are processed separately and partial success is possible. Each approval has the normal team/access/email effects; choose each entry once.
Reject selected entries
- 1
Open the current controls
Select entries awaiting review in Teams.
- 2
Review and save
Use bulk rejection and confirm the named selection.
- 3
Check the effect
Entries are processed separately and partial success is possible; native rejection access/email effects apply.
Reopen selected rejected entries
- 1
Open the current controls
Select eligible rejected entries in Teams.
- 2
Review and save
Use bulk reopen and confirm.
- 3
Check the effect
Each entry is processed separately and partial success is possible; linked live-team entries cannot be reopened automatically.
