Move your club from Coacha to Playlee
Export your people from Coacha, stage them in Playlee, review the import, then invite families when you are ready.
What moves
- People with their date of birth, gender, contact details and medical notes
- Classes and groups, as teams — a person in two classes joins both
- Parents, guardians and next of kin, linked to their children
- Membership plan names, so you can map them to Playlee fee plans during review
What does not
- GoCardless Direct Debit mandates: they belong to Coacha’s GoCardless account and do not transfer, so each payer sets up a Direct Debit or card in Playlee once
- Saved cards: held by Coacha’s Stripe account; not transferable
- Attendance history and bookings: export them for your records; Playlee registers start from the cutover
Run both for one billing cycle
Because Direct Debit mandates do not transfer, agree a cutover date: Coacha collects up to it, Playlee from it. Families re-authorise once and nobody is charged twice.
Importing data does not contact parents or collect payments. The club reviews the import first and decides when invitations go out.
How the move works

Export from Coacha
People → Export → all members. If the download is .xlsx, open it and save it as CSV (UTF-8).

Stage it in Playlee
Import Centre → Exported from: Coacha. Upload the CSV as Teams first, then as Members. Review the preview; next of kin become guardians where no parent columns exist.

Invite families when ready
Importing sends nothing. When the club is happy, send invitations; parents confirm details and re-authorise payment.
Questions about moving from Coacha
- Do our Direct Debits carry over?
- No. Mandates are held with GoCardless under Coacha’s account and cannot be moved. Each payer authorises a Direct Debit (or adds a card) in Playlee once; we recommend running Coacha and Playlee in parallel for one billing cycle so nobody is charged twice or missed.
- Does the import contact our parents?
- No. Staging and importing data sends no email, SMS or push. Parents are contacted only when the club sends invitations afterwards.
- What about our classes and waiting lists?
- Classes import as teams with their members. Bookings and waiting lists start fresh in Playlee from the cutover date; export Coacha’s for your records.
- What does Playlee cost compared to Coacha?
- Coacha charges a monthly subscription plus a lower per-payment rate; Playlee charges 3.25% + 20p per payment with no subscription. See the comparison page for the figures side by side.
