Add an event helper task

  1. 1

    Open the event

As a permitted coach or team manager, open Schedule and the event Tasks panel. Tasks must be enabled for the club.

  2. 2

    Add task

Enter the task title, how many helpers are needed and optional notes, then choose Add task.

  3. 3

    Check the result

The task appears on the event. Creating it alone assigns nobody and sends no automatic notification.

Volunteer or change an event helper task

  1. 1

    Open Tasks on the event

Families use the event Tasks and lifts panel; permitted staff use its Tasks panel.

  2. 2

    Choose the appropriate control

Families choose a child if asked, then I'll do it or stop helping. Staff can assign a named player's family, remove an assignment, edit the task or delete it.

  3. 3

    Review who changes

A parent-visible staff assignment can notify the chosen family. A family dropping an assignment can notify event staff; editing or creating a task does not notify everyone.

Offer or request a lift

  1. 1

    Open Lifts on your event

Open the family event Tasks and lifts panel. Lift sharing must be enabled and the event open.

  2. 2

Offer a lift or Ask for a lift

Choose seats and there, back or both; enter only the permitted short area and optional notes.

  3. 3

    Check the listing

This creates a listing, not an agreed journey or an automatic notification. Families arrange travel and safeguarding details themselves.

Answer or cancel an event lift

  1. 1

    Open the current lift

In the event Lifts panel, choose the named offer, request or arrangement.

  2. 2

    Use the current action

Ask for available seats, offer a lift, accept or decline a pending request, or cancel an arrangement. Only the relevant owner or counterparty can answer it.

  3. 3

    Withdraw if needed

The listing owner can Withdraw. Matching, cancellation and withdrawal can notify affected families; withdrawal cancels its pending or accepted arrangements.

Create a team helper rota

  1. 1

    Open the team Rotas card

A permitted coach or team manager opens the team with Tasks and rotas enabled.

  2. 2

    Choose New rota

Select a repeating event series, a title and the number of families needed. The normal team screen starts with its current player order.

  3. 3

    Create rota

Future helper tasks and family assignments are dealt. Parent-visible assignments can notify the affected families.

Change or stop a team helper rota

  1. 1

    Open the current team rota

Choose the named rota and review its upcoming dates and family assignments.

  2. 2

    Choose the change

Change the family for a date, swap two upcoming dates, or use the order controls and save the new family turn order.

  3. 3

    Stop rota if needed

Confirm Stop rota to remove empty future rota tasks; existing assignments remain. Assignment changes can notify affected families.

Save an attendance register

  1. 1

Open Schedule, select the fixture or training session, then choose Attendance register

  2. 2

Find the player and choose Present or Absent

This records attendance, separately from their availability reply.

  3. 3

Check the other players’ marks, then choose Save register

Saving the register does not send reminders or take payments.

What families receive

Publishing an event makes it available to the selected team and lets parents respond for their child. Staff can then review availability before selecting the squad.

Publish the event

  1. 1

Open Schedule and add the fixture or training session

Choose the team, date, time, venue and opponent where relevant.

  2. 2

    Check the audience before publishing

Confirm the event belongs to the intended team and season.

  3. 3

    Ask families for availability

Parents respond from the event in the club app.

  4. 4

    Review responses before matchday

Use the availability view to follow up only with families who have not answered.

Check the event

  • The time zone and venue are correct.
  • Only the intended team can see it.
  • Availability is open.
  • Families can open the event from the notification.

Report an event ground problem

  1. 1

    Open the current controls

Open the event ground picker and its report controls.

  2. 2

    Review and confirm

Select the current ground, enter the issue and send the report.

  3. 3

    Check the effect

The configured review address receives the note and actor/club/ground identifiers. The ground itself is not changed.

Save a staff-only club referee

  1. 1

Use the native club referee directory controls

Enter the intended name, optional phone, county FA and FAN explicitly. Native normalization/validation still applies; no contact is guessed from another person.

  2. 2

    Review the saved profile

This saves staff-only referee details. It creates no login, access grant, match assignment, referee fee, payment, email/SMS or push. Reconcile the original operation and current app record before repeating an uncertain result; native later reads are not an atomic preview fence.

Replace a saved referee profile

  1. 1

Choose the existing named club referee

Enter every intended profile field; blank phone/county FA/FAN clears the current value. The bounded selector omits ambiguous names rather than guessing.

  2. 2

    Confirm full replacement

Existing matches using this referee can display the changed profile. This creates no account, access grant, referee fee, payment, email/SMS or push. Reconcile the original operation and current app record before repeating an uncertain result; native later reads are not an atomic preview fence.

Choose or clear a match referee

  1. 1

Open the native editable match referee control

Choose a current match within your native team scope and an existing named referee. Explicit blank selection clears the referee reference. Referee directory administration is separate from editing a permitted match.

  2. 2

    Confirm the reference change

The native action changes the match referee reference and records audit. It does not appoint a referee account, grant access, create a referee fee, collect payment or send messages. Reconcile the original operation and current app record before repeating an uncertain result; native later reads are not an atomic preview fence.

Replace competition preparation and result fields

  1. 1

Use the native competition details and result controls

Choose a permitted competition and enter ALL division, mat, performance/warm-up/awards instants, placing, score and bring fields. Blank optional fields clear values. Instants use the saved event zone, or the explicit native web Europe/London default when absent; native score normalization still applies.

  2. 2

    Confirm the full replacement

No roster, fixture, fee, payment or delivery changes occur. Native changes/audit precede its refreshed roster/photo response, so a later response failure can follow a saved change. No photos are signed or loaded in this preview. Reconcile the original operation and current app record before repeating an uncertain result; native later reads are not an atomic preview fence.

Add a competition preparation deadline

  1. 1

Use the native competition deadline controls

Choose a permitted competition, enter the deadline label and an explicit due instant or clear it for no due time. The shared control declares its event time zone; no browser location is inferred.

  2. 2

    Confirm the new deadline

This saves a deadline only, without a reminder, message, payment or roster change. Native audit and refreshed roster/photo response are separate later steps; preview retrieves no photo or signed URL. Reconcile the original operation and current app record before repeating an uncertain result; native later reads are not an atomic preview fence.

Mark a competition deadline complete or incomplete

  1. 1

Select the current named competition deadline

Choose an existing deadline within the selected permitted competition and explicitly set complete or incomplete. Do not create or guess a deadline identifier.

  2. 2

    Confirm its completion state

No deadline is deleted and no reminder, message, payment or roster change occurs. Native audit and refreshed roster/photo response are separate later steps; preview retrieves no photo or signed URL. Reconcile the original operation and current app record before repeating an uncertain result; native later reads are not an atomic preview fence.

Save a dashboard confirmation or result correction

  1. 1

    Find the native control

Open the club Dashboard and select a currently editable match in its native window.

  2. 2

Enter and review the intended change

Choose confirmation for complete stored match details, or result and enter both scores. The save action can correct an existing result; current match details are retained.

  3. 3

    Check the effects and result

Review the exact current match and revision. No notification, money or fixture generation occurs. The match write commits before a best-effort audit.

Submit a missing dashboard confirmation or result

  1. 1

    Find the native control

Open the club Dashboard and select a currently editable match in its native window.

  2. 2

Enter and review the intended change

Choose confirmation for complete stored match details, or result and enter both scores. Submission refuses a different existing result; submitting the same result is a no-op.

  3. 3

    Check the effects and result

Review the exact match and current revision. No message or money is sent. Match saving and audit are separate phases.

Replace team matchday settings

  1. 1

    Find the native control

Open the authorised team matchday settings in the app. Choose a team for which the native event-edit permission is current.

  2. 2

Enter and review the intended change

Enter the complete substitution interval mode/minimum/maximum, maximum players per substitution, goalkeeper-time/rotation choices, period duration/count, parent-visible statistics, tracked statistics and suggestions. Optional blank period duration uses the native format default.

  3. 3

    Check the result and effects

These replace the team configuration. They do not change a live match state, send a message or move money. Parent-visible statistics can change what parents see in future native matchday views.

Update a team player squad number and positions

  1. 1

    Find the native control

Open the authorised team Line-up planner and select a named current player. Native team scope and nudge permission must still apply.

  2. 2

Enter and review the intended change

Enter the intended squad number, choose distinct preferred positions and optionally a primary position included in that set. Blank number/primary and an empty preferred set explicitly clear those values.

  3. 3

    Check the result and effects

The native shared player fields change; memberships, eligibility and fees do not. No notification is sent. Existing match state and saved lineup layouts are not replaced.

Delete a saved team lineup preset

  1. 1

    Find the native control

Open the authorised team Line-up planner and select the named saved preset. Native team scope and nudge permission must still apply.

  2. 2

Enter and review the intended change

Review deleting that preset. Its exact current revision is captured privately; a changed revision requires a fresh review.

  3. 3

    Check the result and effects

Existing match state and player playing details stay unchanged. No message, payment or membership change occurs.

Replace one competition routine roster

  1. 1

    Open Routine roster

Open the competition event in the Playlee app and choose Routine roster. Current editing scope and competition feature access apply.

  2. 2

    Choose one routine and alternates

Name one routine, choose its active athletes and roles, select alternates and choose draft or submitted. This replaces all saved groups and alternates with one routine. Multiple routines stay in the app; submission does not transmit an external entry or send messages.

  3. 3

    Save and inspect the roster

Choose Do it after the review. The handler checks membership before a separate roster transaction; membership can still change before insertion. Earlier versions remain. Audit or response failure can follow a saved version, so check Routine roster before retrying.

Change the current match settings

  1. 1

    Open current match settings

In the native app, open Matchday and its team Settings. Saving there changes team defaults; applying refreshed settings can also change current-match periods. The guided lane here is narrower: only the seven current-match settings, with no team-default or period change.

  2. 2

    Review every replacement field

Choose cadence, minimum and maximum seconds, players per substitution, keeper exclusion, equal-time tips and tracked statistics explicitly. All seven fields are replaced; the clock, lineup and timeline remain.

  3. 3

    Save and inspect Matchday

Choose Do it. Captured revision and current settings must match. Live playing-time projection and a best-effort broadcast can follow saving; no kickoff, result or goal family push is sent. A later response failure can follow a durable save.

Undo a match kickoff

  1. 1

Open the live match in Matchday

In the Playlee app, open the current live match and choose Undo kickoff. The guided menu names current live matches you can edit; saved logs, period changes, scores or results can make the native transaction refuse.

  2. 2

Review returning the match to setup

Review resetting the clock, stints, events, lineup changes and starting layout, and removing saved participation rows while retaining players and period length. Choose Do it only for that reset; a changed saved revision refuses the original review.

  3. 3

    Check the saved match

Open Matchday and inspect setup state. The save and its best-effort realtime broadcast can finish separately. No family kickoff or result notification, email, SMS, payment or refund is sent. Check the original match before retrying an uncertain response.

Publish a bookable session

  1. 1

    Use the current app controls

Open Sessions and use the new session form. Enter title, location, terms, audience, capacity, payment mode and GBP price, cancellation window, both local times with an explicit time zone, and any repeat pattern.

  2. 2

    Review what happens

Publishing creates training sessions people can book; it does not book a person or collect a payment now. Future bookings can create invoices or authorised collections. Native minute wall-clock recurrence applies; unsupported clock transitions must be configured in the app.

  3. 3

    Check the original outcome

Only explicit approval invokes the native action. Current reviewed witnesses are rechecked, but later reads, writes, audits and delivery may remain separate. If the result is uncertain, reconcile the original request rather than creating another operation.

Save bookable session attendance

  1. 1

    Use the current app controls

Open Sessions, choose the session and use its Register. Set attendance for named bookings, then Save attendance. Finance roles can also mark Cash or Waived.

  2. 2

    Review what happens

Other attendance is retained. Already charged attendance cannot change. Cash here records an attendance choice, not a payment yet. The register revision changes; this save creates no invoice, provider charge or message.

  3. 3

    Check the original outcome

Only explicit approval invokes the native action. Current reviewed witnesses are rechecked, but later reads, writes, audits and delivery may remain separate. If the result is uncertain, reconcile the original request rather than creating another operation.

Confirm recorded session charges

  1. 1

    Use the current app controls

Open the session register after it has started. Complete every attendance mark, review the totals and choose Confirm charges.

  2. 2

    Review what happens

Finance roles confirm attendance invoices and record cash already received; waived and absent bookings create no attendance charge. Already charged records remain. Automatic authorised invoices may be collected later, but this action runs no provider charge, refund or message.

  3. 3

    Check the original outcome

Only explicit approval invokes the native action. Current reviewed witnesses are rechecked, but later reads, writes, audits and delivery may remain separate. If the result is uncertain, reconcile the original request rather than creating another operation.

Accept your offered session place

  1. 1

    Use the current app controls

Open My sessions. Find the offered place for your named participant, check its deadline and choose Accept place.

  2. 2

    Review what happens

This accepts only the current signed-in account booking. Check the current price and payment mode. Advance payment holds the place for 35 minutes and creates or reopens an invoice; complete payment from the booking to confirm. Free or attendance-payment places are booked under their current policy. Already accepted places are unchanged. No immediate collection or message runs.

  3. 3

    Check the original outcome

Only explicit approval invokes the native action. Current reviewed witnesses are rechecked, but later reads, writes, audits and delivery may remain separate. If the result is uncertain, reconcile the original request rather than creating another operation.

Request a pitch booking and linked event

  1. 1

    Use the current app controls

Open Facilities, New booking. Choose the named resource and optional team/goal pairs, title and type, both London local times, notes and parent visibility, then submit.

  2. 2

    Review what happens

Native availability and allocation checks can refuse. Current club policy makes the booking requested or approved and creates a scheduled event. One booking-request email is attempted to your current account; parent visibility can also push to family accounts. No invoice, charge or refund runs. Later delivery failures can leave the booking and event saved.

  3. 3

    Check the original outcome

Only explicit approval invokes the native action. Current reviewed witnesses are rechecked, but later reads, writes, audits and delivery may remain separate. If the result is uncertain, reconcile the original request rather than creating another operation.

Approve, reject or cancel a pitch booking

  1. 1

    Use the current app controls

Open Facilities and find the named booking. Choose Approve, Reject or Cancel as appropriate.

  2. 2

    Review what happens

Approval checks current availability. Rejecting or cancelling releases its allocation but preserves the linked club event and its current status and visibility. It does not cancel that event, refund money or send a message.

  3. 3

    Check the original outcome

Only explicit approval invokes the native action. Current reviewed witnesses are rechecked, but later reads, writes, audits and delivery may remain separate. If the result is uncertain, reconcile the original request rather than creating another operation.

Connect a team to FA Full-Time

  1. 1

    Use the existing app controls

Open the team FA Full-Time fixtures controls. Enter the Full-Time team ID or team-page link, then Save team ID.

  2. 2

    Review what changes

Saving the ID makes no FA request and imports no fixture. Actual sync runs separately from Sync FA fixtures in the mobile app; review imported Details TBC matches before confirmation.

  3. 3

    Check the saved state

Use the current authorised named selection. Native writes and later audit steps may be separate, so a later failure can leave a saved primary change. No automatic booking, provider lookup or message is added by Support.

Disconnect a team from FA Full-Time

  1. 1

    Use the existing app controls

Open the team FA Full-Time fixtures controls and choose Disconnect.

  2. 2

    Review what changes

This clears the saved Full-Time team ID, team name and league ID to stop future sync. Already imported events remain; no provider request runs.

  3. 3

    Check the saved state

Use the current authorised named selection. Native writes and later audit steps may be separate, so a later failure can leave a saved primary change. No automatic booking, provider lookup or message is added by Support.
