How to collect football club subs and track outstanding payments

Agree clear payment dates, explain fees to families and keep a reliable record of paid and outstanding club subscriptions.

Start with the amount the club needs to receive

  • State the amount and each due date.
  • Explain what happens when a player joins or leaves during the season.
  • Agree how concessions or alternative arrangements are approved.
  • Publish a contact for payment questions.

Make monthly and seasonal amounts comparable

Illustrative example: £30 per month for ten months is £300 per player before processing costs. For 120 players, that is £36,000 of scheduled gross income if every payment is collected. It is not the same as cash received: fees, missed payments, refunds and concessions can change the final total. Use the current pricing calculator to compare the amount your club would receive.

Keep one payment record per obligation

  • Check paid, overdue and future amounts separately.
  • Record agreed adjustments with a reason.
  • Review failures before sending another reminder.
  • Keep family payment information visible only to the relevant people.

Use a predictable reminder process

Tell parents when reminders will arrive and offer a private route to discuss difficulties. Review exceptions regularly rather than sending repeated messages to the whole team. In Playlee, follow the payment-plan guide for the available setup and reminder controls. Bookkeeping and bank reconciliation are a separate task from collecting subs.
